The Customer
Our customer, a major charitable organisation, aimed to reach a large audience with personalised and precise delivery of both warm and cold raffle packs.
The Challenge
The charity needed to mail over 600,000 cold lead packs and over 100,000 warm lead packs. The warm packs required intricate handling with four different data cells for 1-book, 2-book, 3-book, and 4-book packs. The cold packs involved a single data cell but had the added complexity of inserting a pen into each envelope. We had to ensure precise data handling, printing and fulfilment while maintaining a strict schedule to meet the customer’s deadline.
The Plan
We established a detailed schedule, collaborating closely with the customer’s print, finishing, logistics managers and directors. The plan included:
Sourcing and approving envelopes including Business Reply Envelopes (BRE), tickets and stickers along with sufficient overstock to ensure smooth processing.
Working with the customer’s Downstream Access Provider (DSA) on 11,200 tray deliveries, planning phased delivery and collection to effectively manage storage space.
Processing customer data and creating live data proofs according to the laser brief before mailsort order printing and creating Sequence Enclosing Packs (SEPs) for customer approval.
Using three insertion packs during pack fulfilment. Cold packs were sent to the finishing department for manual pen insertion, while warm packs were trayed and labelled, ready for collection.
Manually removing and recording suppressions (deceased, gone away, or opted-out customers) from trays.
The Results
The entire project, from artwork submission to completion, was executed within the customer’s 7-week deadline. All fulfilment was completed in-house, showcasing our ability to handle large-scale, detailed mailing projects with precision and efficiency.
